On The Day Coordination

  

This scheme is designed to be free from worries about the orchestration of details on wedding day and just merely enjoy the once in a lifetime celebration!

This is where WORKZONE comes in.  We shall focus on providing day-of services for the event and execute all the essentials designed to create a remarkable celebration.

 

PRE-WEDDING PLANNING

 

     Unlimited consultation from the day an agreement is signed.

     Establish timelines for the ceremony/ reception / vendors.

     Confirm and finalize agreement/contract with vendors.

     Ceremony & Reception sites ocular and planning.

     Review program designed.

  

PRE-WEDDING FINALIZATION & PREPARATION

 

CEREMONY PLANNING:

     Ceremony Site Screening in consideration of client’s requirements

     Ensure that the ceremony site is well set-up in accordance to the Bride/Groom preferences/specifications

     Plan the ceremony particulars in conjunction with the Bride/Groom and Officiant

     Assistance in preparation of misalette, selection of readings, etc.

     Orchestrate rehearsals

     Assistance in processional, recessional and seating arrangements

     Ensure proper flow of the ceremony.

     Assistance in ceremony decors and bouquet distributions

     Assistance on pictorials

     Handle last minute details and emergencies to ensure a seamless ceremony

 

RECEPTION PLANNING:

     Oculars and screening of reception venue

     Review food service preparation and agreement

     Coordinate all the activities/programs with the bride/groom and suppliers.

     Guide the guests to reception location, if necessary

     Orchestrate line-up of bride/groom and the entourage for the grand entrance

     Assist and supervise reception set-ups and designs:

       table settings, seating plans, registration table, flower arrangements, entertainment systems set-up, place cards, gift table, favors and souvenir items distribution assistance, cake table set-up, etc.

       ensure availability of cake knives & toasting flutes/glasses and other logistics

       ensure security of gifts

     Ensure that the established timelines with the suppliers are carried out

     Coordinate with the emcee/s and entertainment coordinator  

     Act as point-of-contact before the ceremony, all through the reception.

     Assist on pictorials

      Have “Emergency Kit” ready

 

GUEST RELATION PLANNING:

     Review Hotel negotiations

     Supervise room reservations for bride/groom and guests.

     Arrange for bride/groom transportation from the hotel to the ceremony site

     Assist on photo sessions

     Direct guests to ceremony site and reception venue

     Assist guests to their designated sits at the ceremony site and reception

 

 

ON THE DAY COORDINATION

 

     Ensure prompt arrival of vendors as set on timelines/call time (at the hotel/residence, ceremony site and reception)

 

     Communicate & coordinate wedding day assignments/tasks

 

     Perform established timelines, program and assistance

 

       As indicated on the Ceremony and Reception planning

 

     Assist on pictorials (ceremony site, reception venue, hotel/s)

 

     Assist on hotel preparations and transportation.

 

     Assist on transporting of paraphernalia

 

     Ensure Backup plans when necessary

 

     On-site Bridal “Emergency Kit” at hand

 

 

FINAL WRAP-UP OF EVENT

 

     Assistance on securing and transporting of gifts and other paraphernalia

     Assistance on final payments/gratuities as necessary.

     Assistance on returning of rented items.

     Final inspection of the venue to ensure that nothing was left behind.

     Unlimited consultation commences from the day an agreement is stipulated.

     Unlimited consultation through phone, email or fax.

     Ensure that every specification is turned over properly

     Review and finalize contracts with vendors.

     Review line ups and details.

     Set meetings with the suppliers to ensure proper details of turned-over negotiations are well noted.

     Update and Finalize check list

     Timeline development

     Conduct ocular visits on the ceremony site & reception venue

     Provide etiquette assistance

     Assistance on photo sessions

     Assist on the creation of reception/venue floor plans, sitting arrangements and

     Keep in constant contact with the client on modification aspects of wedding plans

     Assist in selection of ceremony and reception music, sounds and lights.

     Attendance and scheduling of vendor planning meetings, food tasting and oculars 

     Provide Etiquette assistance

     Provide hair and make-up advice, fashion tips and gown designs

     Assistance on photo sessions

     Post wedding follow up engagement
